"For the 2007 tax year, Mount Marty College produced 1098T forms for it students using the preprinted laser forms from the vendor recommended by Datatel. Our business office staff separated the printed forms and stuffed them in the vendor supplied envelopes. Shortly after the forms were mailed, the phones started ringing with calls from students, parents, accountants, and other professional tax preparers asking for additional information to explain the amounts entered in the various boxes on their 1098T forms. This continued up through April 15th and resulted in our staff having to spend an enormous amount of time attempting to answer questions and generating student statements for all transactions relating to the 2007 1098T forms. A significant additional expense was realized due to the cost of faxing or mailing those statements.
Because of this experience, Mount Marty contacted Softdocs/ M2 Business Solutions and asked them to design a special form that would allow the college to combine a student’s 1098T form and accounts receivable statement in one document that could be printed using Datatel’s existing print subroutines in the AR module. We requested that the document be of the pressure seal type in order to minimize handling. The cost for this project involved both the form design fee and the purchase of a license for Softdocs/ M2 Business Solutions Merge Module. The new form has been tested by our staff and is ready for next year’s tax season. The quoted price turned out to be so reasonable that the college anticipates significant savings in the first year of use. Most of the savings are expected to be in the form of reduced postage costs and reduced demands on staff time.

I have been preparing end of year reports for 2008 for the Provost's Office at Monmouth University. One factor that we have been tracking, especially in this economic downturn, has been the resultant savings from changes made to the way we operate.Doc-e-Fill (e-FORMS as we call it) has made a positive impact on the Monmouth budget. I thought you might be interested in my findings.
We started slowly, introducing only 7 forms in 06/FA, thinking that the students would need time for a learning curve. We underestimated the students. They embraced the product, wanting to use it to transact all business (they did not want to use the paper forms- and told us so!). Today, we have 34 forms for student use, with more in the development pipeline. One interesting feature is that the students' advisors also want access to e-FORMS. We were asked to implement a series of advisor-initiated e-FORMS (for advisors to transact business on behalf of the students). Thanks to the Softdocs/M2 design staff, we are able to offer this to our advisors and are implementing his month seven advisor-initiated e-FORMS that ultimately file in the student's electronic folder.
We have, since 06/FA, processed 33,246 student initiated transactions using Doc-e-Fill. By using electronic forms to process these requests, we saved the University $13,378.88 in paper, envelope and postage costs. In addition to this actual cost avoidance, we also have savings from reallocating office staff to other tasks. It's not easy assigning a dollar amount to cost avoidance. If I calculate the time not spent on mail delivery, opening envelopes, sorting mail, re-routing requests, sorting, copying, filing and the other numerous tasks associated with paper forms processing, and divide the time that I calculate in half, I am conservatively estimating that we save approximately 9 minutes per e-FORM. Since we started this project, that avoidance in manpower (enabling Monmouth to channel employee efforts to other work) has resulted in a savings of 4987 person-hours. That averages to a full-time FTE over the scope of the project.
I have been impressed with the superior customer service offered by Softdocs/M2, which has permitted us to implement these initiatives and am thankful that Softdocs/M2 provides us with the tools to make our jobs easier.
